Position Summary:

We are seeking a detail-oriented and reliable Office Clerk to support our administrative and financial operations. This role combines general office duties with specific responsibilities in billing and payment processing, ensuring smooth and efficient office functions.

Key Responsibilities:

Administrative Support
  • General Clerical Tasks: Answer phone calls, take messages, and redirect calls as necessary. Greet visitors and direct them to appropriate personnel.
  • Document Management: Maintain and update physical and electronic files, ensuring documents are organized and easily accessible.
  • Mail Handling: Sort and distribute incoming mail; prepare outgoing mail and packages.
  • Scheduling: Assist in scheduling appointments and meetings, and manage calendars for office personnel.
  • Data Entry: Input and update data in computer systems and databases accurately.
  • Office Supplies: Monitor inventory of office supplies and reorder as necessary to maintain stock levels.

Billing & Payment Processing
  • Invoice Preparation: Generate accurate invoices based on sales orders or services rendered.
  • Invoice Distribution: Send invoices to customers via appropriate channels (e.g., email, postal mail).
  • Payment Collection: Receive and process customer payments through various methods (e.g., cash, credit card, bank transfer).
  • Payment Recording: Update accounting records with payment details and ensure timely posting to customer accounts.
  • Account Reconciliation: Reconcile customer accounts to ensure all payments are accurately applied and discrepancies are resolved promptly.
  • Customer Communication: Address customer inquiries regarding billing issues and provide necessary support.

Educational Qualifications:

  • Minimum Sijil Pelajaran Malaysia (SPM) or equivalent.

Computer Skills:

  • Proficiency in Microsoft Word and Excel is essential.

Language Proficiency:

  • Fluent in both spoken and written English and Bahasa Malaysia.

Personal Attributes:
