The Admin Executive is responsible for supporting day-to-day administrative, HR, and basic accounting functions across the company. This role ensures smooth coordination of office operations, payment processing, staff support services, and event logistics.
The Admin Executive also acts as a liaison between departments and external parties, including suppliers, contractors, and service providers.
ADMIN- Payment Schedule Arrangement (Daily)
- Account PV Filing (Monthly)
- Tender Submission (ID)
- Manage Pantry Stock up (WH, HQ, DU)
- Handling for hotel booking (Outstation Delivery)
- TT form submission (Maybank PIC)
- Monitoring daily attendance
- Advance payment for ALL department (Purchasing)
- Liaising with Contractors (INV and Payment issuance)
- Ordering consumables for office equipment (Printer, Lightings, Cleaning
- Distributing reports, memos, and other correspondence to ALL Staff
- Dealing with Cleaners, AC Technician
- Receiving incoming phone calls
- Preparing and storing company information in paper and digital form
- Verifying and processing Monthly Staff Claims
- GDEX Courier arrangement (Document/Parcel) – HQ based
- Preparation relevant letter & memo
- Preparation on Company Field Trip (Oct 2025)
- Responsible to purchase for Company Lucky Draw items – Joy Event (Dec
- F&B booking arrangement - Joy Event (Dec 2025)
- Merchant terminal request - Joy Event (Dec 2025)
- Ad-hoc assigned by Director
- Handling warehouse Attendance
- Monthly Salary Report
- Monthly operational payroll for foreign workers
- Ensure compliance with company policies and procedure
- Maintain staff records, personnel form and leave records
- Handling leaves application
- Payment voucher posting in Dynamod System (by Month)
- Supplier Invoice Posting in Dynamod System (by Month)
- Payment issuance (Account Payable) - Daily
