Admin & HR Executive

The Admin & HR Executive plays a crucial role to support and work closely with the Head of Department (HOD) to provide administrative support to ensure the smooth and efficient operation of our HQ office. The position will play a key role in supporting HR function, managing office activities, and facilitating effective communication within the organization.

Admin (ADM)
  • Oversee and manage office operations to ensure efficiency and effectiveness
  • Maintain and organize office records, proper filing of the documents and databases
  • Handle incoming and outgoing correspondence and etc
  • Support finance teams with invoicing tasks
  • Support in leasing related matter
  • Manage office supplies and equipment, ensuring availability and maintenance
  • Licensing application & renewals of HQ and all outlets
  • Coordinate with vendors, suppliers and service providers for HQ & outlets needs i.e., pest controls, aircond maintenance, water dispensers HQ & outlets and etc
  • Assist in organizing company events, meetings and training sessions
  • Ensure compliance with company policies and procedures
  • Collaborate with store staff- work closely with other store staff to ensure seamless operations.
  • Any ad hoc duties as instructed by management
Human Resource (HR)
  • Maintaining physical and digital personnel records of the employees
  • Update internal databases with new hire information
  • Working closely with outsource payroll team
  • Assist in payroll closing – monthly timesheet variance for all stores
  • Prepare store monthly bonuses
  • Create, publish and maintaining job ads in hiring platforms
  • Screening resume of applicants
  • Schedule job interviews and contact candidates as needed
  • Maintain and organize new employee orientation, training, onboarding and documentation
  • Full function of HR - participate in candidate interviews, exit interviews, including minute taking
  • Prepare reports on HR related matters – i.e., total hiring by dept and etc
  • Assist HOD in HR budgeting
Qualifications and Skills
  • Diploma or Bachelor’s Degree in Business Administration or a related field preferred
  • Strong organizational and time-management skills.
  • Must maintain confidentiality of the company
  • Excellent attention to detail and accuracy.
  • Proficient in using computer systems and software (e.g., inventory management systems, Microsoft Office Suite).
  • Strong communication and interpersonal skills (fluent in English and BM)
  • Ability to work independently and as part of a team.
  • Problem-solving and decision-making skills.
  • Possess own transport (car/motor) and willing to travel to outlets
  • 1-3years of administrative & HR experience is an advantage
  • Basic knowledge of labor legislation is an advantage
