Personal Assistant to Director & General Manager

Provide comprehensive administrative support to the Director and General Manager, including managing correspondence, preparing reports, and handling confidential information with discretion.
- Manage and maintain the Director and General Manager's calendar, schedule appointments, coordinate meetings, and ensure timely reminders for all engagements.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation, while adhering to company policies and budget constraints.
- Act as a primary point of contact for internal and external stakeholders, screening calls, responding to inquiries, and directing communications appropriately.
- Organize and maintain physical and electronic files, ensuring efficient retrieval of information and adherence to record-keeping procedures.
- Assist in the preparation of presentations, reports, and other documents, ensuring accuracy, clarity, and adherence to company branding guidelines.
- Facilitate effective communication between the Director/General Manager and other departments, ensuring timely dissemination of information and follow-up on action items.
- Proficiency in Mandarin and English, both written and spoken, is essential for effective communication with diverse stakeholders.
- Demonstrate strong organizational and time-management skills, with the ability to prioritize tasks, manage multiple deadlines, and maintain attention to detail.
- Maintain a high level of professionalism, integrity, and confidentiality in all interactions and handling of sensitive information.

- Manage and maintain the Director and General Manager's calendars, scheduling appointments, meetings, and travel arrangements, ensuring efficient time management.

- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the Director and General Manager, ensuring accuracy and professionalism.
- Organize and coordinate meetings, including preparing agendas, distributing meeting materials, taking minutes, and following up on action items.
- Handle confidential information and documents with discretion and maintain organized filing systems, both physical and electronic.
- Assist in the preparation of reports, budgets, and other financial documents, ensuring accuracy and timely submission.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation, and preparing detailed itineraries.
- Support the Director and General Manager in various administrative tasks, such as processing expense reports, managing invoices, and ordering office supplies.
