Purchasing Assistant
Education:Minimum Diploma in Business Administration or related field.
Experience:3–5 years of relevant experience in a purchasing or administrative support role preferred.
Skills:
Good negotiation and communication skills
Strong organizational and time management skills
Detail-oriented and accurate in data entry
Able to multitask and work under pressure
Basic knowledge of purchasing systems or ERP software is an advantage
Computer Literacy:Proficient in Microsoft Office, especially Excel and Word.
Support Procurement Activities Assist the Purchasing Officer/Manager in sourcing, comparing, and selecting suppliers based on price, quality, and delivery time.
Purchase Order ProcessingPrepare and issue purchase orders accurately and on time. Follow up on order confirmations, delivery schedules, and invoices.
Inventory MonitoringMonitor stock levels and place orders as needed to avoid shortages or overstock situations.
Supplier CommunicationMaintain effective communication with suppliers to ensure timely delivery and resolve any issues related to delays, pricing, or quality.
Documentation & Record KeepingMaintain accurate records of purchases, pricing, invoices, and other procurement documents.
Cost AnalysisAssist in evaluating purchase costs and suggesting cost-saving alternatives.
Coordinate with Other DepartmentsLiaise with internal departments (e.g., warehouse, production, finance) to ensure purchasing needs are met efficiently.
