Job Description

Position General Summary

The role aims at providing administrative and coordination support to ensure efficient back end operation of the office.

Essential Position Functions

General Administration
  • Office Administration
  • Prepares reports, presentations, memorandums, proposals and correspondences.
  • Assists in the preparation of department budgets and expenses.
  • Assure all invoices from various operations activities are recorded and sent to Finance Division to be processed for timely payment.
  • Assist in procurement activities i.e Purchase Requisition, Goods Receive
  • Record/Filing Management - Assist in the compilation, record and management of the department’s documents for safe keeping, record purposes and easy retrieval.
  • Prepare minutes of meeting whenever directed.
  • Assist in coordinating commercial calendar of events.
COORDINATION
  • Meeting Arrangement - Assist by scheduling, booking of venues, ordering of refreshment, etc.
  • Traveling Arrangement - Accountable to arrange for reserving fleets, hotels, flights etc.
  • Media Buy Arrangement – Assist in supporting of documentations
Other Matters
  • Assure that all office equipment’s are ready for use always by ensuring the sufficient supplies of related equipment i.e. toner cartridges, stationery etc.
  • Assist new staff for a fully equipped workstation, security passes etc.
  • Execute other related directives from the superior.
Key Challenges
  • To ensure all related instructions are carry out efficiently, accurately and timely.
  • To have good relationship with all personnel to ensure the success and smooth administration and operations activities.
  • Responsible in aiding executives on communications, documentation and compliance on deliverables
  • To keep track of any in going and outgoing documents internally and externally.
Skills
  • Good interpersonal and communication skills.
  • Detail oriented and works with a high degree of accuracy
  • Highly organized and flexible
  • Ability to multitask, coordinate and meet changing deadlines
  • Working knowledge of email, scheduling and proficient in Microsoft Office
Education
  • SPM or equivalent with Credit in Bahasa Malaysia, Pass in English and Mathematics
