Personal Assistant

Minimum of 5 years of experience as a Personal Assistant, preferably supporting senior executives.
- Exceptional time management and organizational skills, with the ability to prioritize tasks effectively and meet deadlines in a fast-paced environment.
- Excellent communication skills, both written and verbal, with fluency Mandarin,
- Proficient in computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Demonstrated ability to maintain strict confidentiality and handle sensitive information with discretion.
- Ability to work independently and proactively, with minimal supervision.
- Strong interpersonal skills and the ability to build rapport with individuals at all levels of the organization.
- Experience in managing complex calendars, scheduling meetings, and coordinating travel arrangements.
- Proven ability to anticipate the needs of senior executives and provide proactive support.
- Excellent problem-solving skills and the ability to handle unexpected situations with composure and professionalism.
- Manage the Senior Executive's calendar, schedule appointments, and coordinate meetings, ensuring efficient time management and prioritization.
- Handle confidential information with discretion and maintain the privacy of sensitive company and personal matters.
- Prepare correspondence, reports, and presentations, ensuring accuracy, clarity, and adherence to company standards.
- Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring seamless and cost-effective travel plans.
- Serve as a primary point of contact for internal and external stakeholders, screening calls, managing inquiries, and providing professional and courteous assistance.
- Organize and maintain files and records, both physical and electronic, ensuring easy retrieval and compliance with company policies.
- Assist in the planning and execution of company events, conferences, and meetings, coordinating logistics and ensuring smooth operations.
- Conduct research, compile data, and prepare summaries and reports to support the Senior Executive's decision-making process.
- Manage and reconcile expenses, prepare expense reports, and ensure compliance with company policies and procedures.
- Translate documents and communications between Mandarin, Bahasa Malaysia, English, and Tamil as needed to facilitate effective communication within the organization and with external partners.
