We are looking for a highly organized and proactive Secretary / Personal Assistant to support our Chief Operating Officer (COO). This role requires a high level of discretion, excellent time management, and the ability to work in a fast-paced environment.

The successful candidate will provide comprehensive administrative, secretarial, and personal support to ensure the efficient operation of the COO’s office.

Key Responsibilities:

  • Provide full spectrum of secretarial and administrative support to the COO
  • Manage the COO’s calendar, including scheduling meetings, appointments, and travel arrangements
  • Prepare meeting agendas, minutes, presentations, and follow-up documentation
  • Handle confidential correspondence, reports, and sensitive documents with discretion
  • Coordinate internal and external communications on behalf of the COO
  • Liaise with senior management, stakeholders, clients, and partners professionally
  • Assist in compiling reports, tracking key performance indicators (KPIs), and preparing business documents
  • Organize events, board meetings, and company functions as needed
  • Perform ad-hoc tasks or projects as assigned by the COO
  • Diploma or Degree in Business Administration, Secretarial Studies, or related field
  • Minimum 1-3 years of experience as a Secretary or PA to a senior executive, preferably in a corporate environment
  • Exceptional written and verbal communication skills in English and Bahasa Malaysia
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Highly organized, detail-oriented, and able to multitask effectively
  • Demonstrated ability to handle confidential information with integrity
  • Professional appearance and demeanor
  • Able to work independently and exercise good judgment
  • Flexibility in working hours may be required occasionally
