Job Summary:
We are seeking a professional and highly organized Administrative Assistant cum Receptionist to join our law firm. The ideal candidate will be the first point of contact for clients and visitors, providing a welcoming and efficient front desk experience while also supporting administrative tasks to ensure smooth office operations.
Key Responsibilities:
Reception Duties:
- Greet clients, visitors, and staff in a courteous and professional manner.
- Answer and direct incoming calls promptly and accurately.
- Manage appointment scheduling and maintain meeting room bookings.
- Handle incoming and outgoing mail, courier services, and deliveries.
- Maintain a tidy and organized reception area.
Administrative Support:
- Assist with document preparation, filing, scanning, and photocopying.
- Maintain and update client records and databases.
- Support lawyers and staff with administrative tasks as needed.
- Monitor and order office supplies and stationery.
- Coordinate with vendors and service providers for office maintenance.
Basic Operations Duties:
- Ensure office equipment (printers, copiers, phones) are functioning and report issues promptly.
- Assist in maintaining inventory of office supplies and legal stationery.
- Help with basic bookkeeping tasks such as invoice tracking and petty cash handling.
- Support IT and facilities coordination (e.g., liaising with service providers for repairs or upgrades).
- Assist in implementing and maintaining office procedures and systems.
- Ensure compliance with firm policies and assist in internal audits or checks.
General Office Duties:
- Ensure confidentiality and security of sensitive legal documents.
- Assist in organizing firm events, meetings, and travel arrangements.
