Possess at least Diploma in business administration, Marketing, Communications, or a related field.
- At least 2-3 years of working experience as a Personal Assistant, Executive Assistant, or in an administrative support role.
- Must possess own transportation.
- Excellent communication skills in English and Mandarin.
- Tech-savvy with proficiency in Microsoft Office and Outlook.
- Strong stakeholder management, planning, and time management skills.
Executive & Strategic Support:
- Manage the CEO’s complex calendar, including internal meetings, client appointments, and strategic planning sessions.
- Prepare briefing notes, talking points, and pre-meeting research to keep the CEO informed and prepared.
- Assist in monitoring project deadlines and business priorities; provide reminders and follow-up support to ensure timely execution.
- Participate in strategic meetings and provide input or support as needed in planning and decision-making processes.
- Support the CEO in compiling board papers, investor updates, or monthly reporting materials.
Presentation & Business Documentation:
- Create, format, and proofread business presentations, investor decks, proposals, and internal communication slides.
- Compile and analyze data or business metrics to assist with decision-making and reporting.
- Maintain and update internal files, documents, and version-controlled materials for CEO reference.
Operations & Administrative Management:
- Oversee the CEO’s task list and maintain a priority matrix to ensure efficient time management.
- Coordinate executive travel arrangements (flights, hotels, transport) and handle last-minute changes efficiently.
- Prepare claims, track expenses, and ensure proper documentation for reimbursement and cost allocations.
- Liaise with internal departments (HR, Finance, Legal, Marketing) to follow through on CEO-led initiatives.
- Assist in office management duties relating to CEO needs — such as maintaining supplies, work tools, and executive meeting spaces.
Event, Protocol & Special Projects:
- Organize and coordinate executive-level events, VIP meetings, and business dinners, including guest management and setup.
- Assist in preparing speech notes or special messages for public appearances, holidays, or internal communications.
- Help manage CEO’s corporate gifting, festive arrangements, or branding-related gestures for partners and stakeholders.
- Support ad-hoc business or personal projects that may include research, vendor negotiation, or special purchases.
