Human Resources Assistant

Diploma or Degree in Human Resource Management, Business Administration, or a related field.
Experience:
- Minimum 1 year of working experience in HR or administrative roles preferred. Fresh graduates with strong internship experience are also encouraged to apply.
Skills & Competencies:
- Good understanding of HR processes and basic labor laws.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Strong organizational and time management skills.
- Good interpersonal and communication skills.
- Able to maintain confidentiality and handle sensitive information with integrity.
- Detail-oriented and proactive in completing tasks.
Language:
- Proficiency in English and Bahasa Malaysia (spoken and written). Mandarin is an added advantage depending on the workforce.
- Assist in job posting, screening resumes, and arranging interviews.
- Prepare offer letters and onboarding documents.
- Facilitate employee onboarding process including orientation, document collection, and system access.
- Maintain employee personal files and ensure completeness.
- Support offboarding processes including exit interviews and clearance.
- Maintain and update employee records in Payroll System.
- Assist in preparation of HR-related letters (confirmation, promotion, warning, etc.). Track and monitor probation periods, contract expiry, and confirmation due dates. Monitor and record daily attendance.
- Verify and update leave records and medical certificates.
- Generate monthly attendance reports for payroll processing.
- Compile monthly overtime, allowances, and other payroll-related information. Support payroll processing by providing accurate and timely data.
- Assist in organizing employee engagement activities, celebrations, and training. Support the distribution of uniforms, ID cards, and HR communications.
- Ensure HR documentation complies with company policies and labor laws.
- Maintain proper filing of HR documents (both physical and digital).
- Handle general inquiries from employees regarding HR matters.
- Assist in any other duties assigned by the HR Manager or management.
