Proven experience as a personal or executive secretary/assistant, preferably supporting senior-level executives.
  • Candidate must possess at least a Higher Secondary/ STPM/ "A" Level/ Pre-U, Professional Certificate, Diploma, Advanced/Higher/ Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Business Studies/Administration/ Management / Diploma in private secretarial or equivalent.
  • Minimum 3 – 5 years of working experiences and above in secretarial related work.
  • Excellent written and verbal communication skills in English, Mandarin & Bahasa Malaysia are required. Proficiency in Mandarin is essential for liaising with Chinese-speaking stakeholders.
  • Strong organizational, communication, and multitasking skills. Proactive, resourceful, discreet, and able to work independently with minimal supervision. Anticipate needs, solve problems before they arise, and thrive under pressure.
  • High level of integrity and the ability to handle confidential matters with discretion.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Manage and maintain the Director’s calendar, schedule appointments, meetings, and travel arrangements. Prepare meeting agendas, minutes, and presentation materials as required.
  • Screen and prioritize incoming communications, emails, calls, and correspondence for the Director.
  • Coordinate and follow up on action items delegated by the Director.
  • Organize and maintain an efficient filing system for easy document retrieval.
  • Coordinate logistics for business functions, events, and meetings involving the Director.
  • Attend to and manage personal errands and private matters for the Director. Follow up and arrange the personal appointments, travel bookings, and reservations.
  • Handling confidential and personal documentation with utmost trust and professionalism
  • Provide full support to ensure the Director’s day-to-day affairs are well organized and efficient.
