Job Requirements- Bachelor’s Degree in Human Resources, Business Administration, or related field.
- At least 3 years of HR experience, preferably in a corporate environment.
- Strong knowledge of local employment law and statutory requirements.
- Hands-on experience in payroll processing, benefits administration, and leave management.
- Proficiency in HR Systems such as Infotech or iStaff is a welcomed advantage.
- Experience handling medical insurance policies and employee claims.
- Strong organizational skills with attention to detail and accuracy.
- Ability to work independently, handle confidential matters with discretion, and meet deadlines.
- A good communicator, team player, and proactive problem-solver.
- Proficiency in both English and Mandarin is preferred to liaise with regional teams.
- Candidates with extensive experience and senior-level expertise in HR functions may be considered for the role of Senior HR Executive
- Handle the full spectrum of end-to-end monthly payroll processing, compensation, and benefits for Malaysia and Singapore regional offices.
- Ensure strict compliance with local employment laws, statutory contributions (EPF, SOCSO, EIS), and regional HR best practices.
- Manage the full administration of employee benefits, including medical insurance policy renewals and the direct processing of claims.
- Calculate annual leave accruals and monitor daily employee attendance and leave records for the regional team.
- Assist in performance appraisal cycles and execute the development and implementation of HR policies, procedures, and SOPs.
- Liaise with the HQ HR team in Hong Kong for regional projects and provide direct support to headquarters' HR team operations.
- Manage the end-to-end recruitment process by identifying staffing needs, developing recruitment strategies, and conducting sourcing, screening, and interviews.
- Execute the onboarding process for new hires, including reference checks, employment contracts, orientation programs, and introduction to company policies.
- Handle offboarding procedures by conducting exit interviews, physically collecting company property/assets, and ensuring the accurate processing of final payments.
- Maintain and update accurate employee records and document control within HR systems.
- Manage day-to-day office operations, including purchasing stationery, maintaining office equipment/supplies, and tracking inventory.
- Oversee office maintenance, vendor coordination, and service arrangements while building positive relationships with internal and external stakeholders.
- Coordinate office relocation projects, managing operational transitions and vendor requirements.
- Arrange all travel logistics for employees, including booking flights, accommodations, and transportation.
- Act as the primary point of contact for office communications, including professionally handling incoming calls, emails, and WhatsApp inquiries.
- Serve as the main point of contact for internal employee concerns and workplace issues.
- Serve as the primary point of contact for Malaysia and Singapore office administrative tasks, reporting directly to HQ in Hong Kong.
- Develop and implement strategies to optimize office operations as the company expands its presence in the region.
- Perform additional ad-hoc HR and administrative tasks as assigned to support smooth office operations.
