Job description

The Executive Assistant reports directly to the Group Operations Manager and plays a pivotal role in supporting high-level executives by managing administrative tasks, operational executions, and assisting in business marketing communications, including social media strategies and implementation.

Additionally, the role involves contributing to ESG (Environmental, Social, and Governance) initiatives and sustainability goals.

Key Responsibilities:

  1. High-Level Meeting Support:
  • Take accurate and comprehensive minutes during executive meetings, ensuring all key discussions, decisions, and action items are captured.
  • Assisting Group Operations Manager in preparing meeting agendas and minutes, coordinate schedules, and ensure meeting logistics are smoothly managed.
  • Distribute meeting minutes promptly and follow up on action items to ensure timely execution.
  1. Business Operational Execution and Follow-Ups:
  • Monitor project tasks timelines and deliverables to facilitate timely execution.
  • Act as a liaison between departments and external stakeholders, ensuring clear communication and efficient resolution of issues.
  1. Business Marketing Communications and Social Media:
  • Assist in developing and implementing business marketing communications strategies.
  • Coordinate social media activities, including content creation, scheduling, and monitoring.
  • Engage with stakeholders and respond to inquiries or comments on social media platforms.
  • Analyze social media metrics and prepare reports to assess the effectiveness of campaigns.
  • Stay informed about industry trends and competitor activities to contribute to strategic planning.
  1. Implementation in Group Sustainability (ESG):
  • Collaborate with stakeholders to understand ESG goals and initiatives set by the organization.
  • Assist in the development and execution of strategies to integrate sustainability practices into daily operations.
  • Track progress towards sustainability targets, gather relevant data, and prepare reports for executive review.
  • Stay updated on industry trends and best practices in ESG to provide informed recommendations.
  1. ISO Implementation
  • Assist in overseeing and managing the entire ISO implementation and compliance journey.

Job Requirement:

  1. Bachelor's degree in Business Administration, Management, Communications or a related field preferred.
  2. Previous experience supporting executives or senior management in a fast-paced environment.
  3. Additional certifications in project management or administrative support are a plus.
  4. Has experience and proficient shorthand skills gained through previous work in the corporate sector.
  5. Excellent organizational and time-management skills with the ability to prioritize tasks.
  6. Exceptional written and verbal communication skills, with a keen eye for detail in minute-taking.
  7. Knowledge or interest in ESG principles and sustainability practices is advantageous. Otherwise, opportunities in learning and involvement in Sustainability (ESG) practices.
  8. Proven expertise in managing ISO implementation.
