Diploma or Degree in HR or related field

- Handle general HR administrative tasks, responsible for filing and maintaining all employee-related documents such as medical certificates (MC), leave forms, and attendance records to ensure accurate and complete HR files.
- Process, update, and monitor employee leave applications using the Info-Tech system, ensuring all records are properly recorded and updated.
- Prepare and compile monthly overtime summaries for payroll and management reporting purposes.
- Crosscheck and verify all types of leave (annual leave, medical leave, etc.) and ensure proper updating into AL/MC summaries.
- Arrange interview schedules and coordinate communication between candidates and hiring managers.
- Utilize Info-Tech and TMS systems to monitor attendance, download reports, and ensure data accuracy.
- Assist in staff orientation, registration, and onboarding process to ensure smooth integration of new employees.
- Track and update daily attendance records to ensure completeness and accuracy.
- Prepare onboarding necessities for new staff, including uniforms, aprons, name tags, and other required items.
- Manage and coordinate staff meal arrangements (operations staff), ensuring proper distribution and tracking.
- Key in and maintain HR-related data entries accurately in the system.
- Support payroll preparation by providing accurate attendance, leave, and overtime data.
- Ensure compliance with company policies and basic labor regulations.
- Act as a point of contact for basic employee inquiries related to HR matters.
- Assist in always maintaining confidentiality of employee information.
- Support HR projects and initiatives as assigned by management.
- Monitor and ensure employees’ typhoid vaccination records are updated and compliant with requirements.
- Conduct checks on uniform stock and maintain proper inventory control.
- Prepare monthly administrative reports related to company mobile phone or service usage and ensure proper documentation.
- Assist in office administration, including procurement of office supplies and coordination with vendors.
- Assist in organizing company activities, meetings, and staff events.
- Monitor and track expiry dates of operational-related documents such as business licenses, permits, and tenancy agreements, ensuring timely renewal and compliance.
