About the Role
We are seeking a highly organized and proactive Personal Assistant to support the Division EXCO. This role involves managing executive schedules, coordinating meetings and events, handling travel arrangements, and providing comprehensive administrative support across the division.The ideal candidate will be a confident communicator, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Job Responsibilities:
Executive Support- Manage and organize the Division EXCO’s calendar, including scheduling biweekly/monthly meetings with direct reports.
- Coordinate travel and accommodation arrangements, and handle related claims and approvals.
- Liaise with external business partners for festive engagements and corporate events.
- Oversee driver scheduling and logistics.
- Supervise and coordinate the schedules of pool drivers (currently two), ensuring efficient and timely transportation support for the division.
- Monitor driver assignments, vehicle usage, and ensure adherence to company policies and safety standards.
- Ensure new joiners have access to necessary equipment and systems (e.g., workstation, laptop, phone lines, email, portals).
- Handle purchasing and liaise with relevant departments to ensure smooth office operations.
- Support division-wide initiatives such as fire drills, clean desk policy, and compliance projects.
- Maintain and update the department’s Call Tree and support fire drill exercises.
- Assist the BCM Manager in conducting Business Impact Analysis and staff engagement.
- Ensure staff complete annual BCM awareness training.
- Monitor completion of mandatory e-learning, performance management conversations, and staff engagement surveys.
- Coordinate onboarding for new Senior Leadership Team members.
- Track staff claims and ensure timely submission of eligible items.
- Process travel and hotel invoices for payment.
- Plan and execute quarterly engagement activities, team-building events, town halls, and the annual staff party.
- Ensure adherence to company policies, standards, and regulatory requirements.
- Support special projects and tasks as assigned by the Division EXCO.
Job Requirements:
- Diploma or higher in Business Studies, Secretarial Studies, or a related field.
- Minimum 5 years of experience as a Personal Assistant or Executive Secretary.
- Excellent written and verbal communication skills in English and Bahasa Malaysia; proficiency in other dialects is an advantage.
- Strong administrative and coordination skills, with experience supporting senior executives.
- Professional demeanor with the ability to interact confidently with senior leaders and external stakeholders (e.g., bankers, regulators).
- Highly adaptable, proactive, and able to perform under pressure.
- Strong organizational skills and attention to detail.
