Description
As the Administrative & Logistics Coordinator, you'll be responsible for supporting both administrative functions and logistics management. You will also handle invoicing and related financial documentation, playing a critical role in ensuring accuracy in billing and record-keeping.This position is ideal for someone who thrives in a hands-on agricultural setting and has strong attention to detail.
Key Responsibilities
Administration:
- Maintain farm records, certifications, and compliance documentation.
- Manage correspondence, scheduling, filing, and general office tasks.
- Prepare regular operational and financial reports for management.
Logistics:
- Coordinate transportation and delivery of farm products, inputs, and equipment.
- Communicate with suppliers, transporters, and customers to manage logistics.
- Track and manage inventory of supplies and materials.
- Ensure proper documentation for all shipments (delivery notes, packing lists, etc.).
Invoicing & Financial Admin:
- Create and process sales and purchase invoices accurately and in a timely manner.
- Track payments, follow up on outstanding invoices, and maintain billing records.
- Reconcile delivery notes with purchase orders and supplier invoices.
- Support basic bookkeeping tasks and work closely with the finance team or accountant.
- Experience in administrative and/or logistics roles, preferably in the agriculture sector.
- Familiarity with invoicing, billing systems, or basic accounting principles.
- Strong organizational, communication, and multitasking skills.
- Proficiency in Microsoft Office (especially Excel); experience with invoicing or farm management software is a plus.
- Ability to work independently and manage priorities in a fast-paced, seasonal environment.
