Job Overview:

We are seeking a highly organized and detail-oriented Admin Assistant to join our team at Omegaden Laboratory. This role is crucial for ensuring smooth administrative operations, with a primary focus on generating and managing invoices, maintaining records, and supporting client communication.

The ideal candidate is proactive, reliable, and capable of handling multiple tasks efficiently.

Key Responsibilities:

Invoicing & Billing:

  • Generate accurate invoices for dental cases and services.
  • Ensure timely distribution of invoices to clients.
  • Follow up on outstanding payments and maintain a record of transactions.

Administrative Support:

  • Maintain and update client databases with accurate information.
  • Organize and manage physical and digital files, including case documents and payment records.
  • Prepare monthly financial summaries for management review.

Communication & Coordination:

  • Handle inquiries from clients regarding invoices, payments, and case statuses.
  • Coordinate with technicians and the management team to ensure accurate billing information.
  • Assist in scheduling and tracking case deliveries.

Reporting & Documentation:

  • Prepare daily and monthly reports on invoicing and account status.
  • Ensure compliance with company policies and industry regulations.

General Office Duties:

  • Manage office supplies and inventory.
  • Assist in organizing company events and meetings.
  • Perform other administrative tasks as assigned by the management.
  • Proven experience in administrative or accounting roles, preferably in the healthcare or dental industry.
  • Proficient in Microsoft Office Suite (Excel, Word) and accounting software.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
