Job Summary
The Sales Operations Assistant provides essential support to both the sales and operations departments to ensure seamless coordination across projects, especially in the GWP (Gift with Purchase), promotional merchandise, and sourcing business.This role supports quotation preparation, order tracking, logistics follow-up, and general documentation to assist the teams in delivering quality service and on-time execution.
Education & Experience- Diploma or higher in Business Administration, Sales, Logistics, or a related field.
- 2-3 years’ experience in sales support, customer service, or supply chain coordination, preferably in GWP, FMCG, or trading industries.
- Good command of Mandarin, English and Bahasa Malaysia in speaking and written. (Mandarin is a plus).
- Proficient in Microsoft Excel, Word, and basic inventory or accounting systems.
- Strong attention to detail, able to handle multiple tasks and deadlines.
- Good interpersonal skills and a team-player mindset.
- Familiarity with sales and logistics processes (quotation, invoice, shipment tracking, etc.).
- Willing to work in a fast-paced and detail-oriented environment.
- Able to support cross-functional departments and take initiative on assigned tasks.
- Support sales team in preparing quotations, proposals, presentations, and sales documents.
- Handle order processing, purchase orders, and invoicing in coordination with Finance & Operations teams.
- Maintain accurate records of sales data, client information, and project timelines.
- Liaise with suppliers, factories, and logistics partners to ensure smooth order fulfillment and timely delivery.
- Track inventory, sample requests, and product availability for client projects.
- Provide administrative support including scheduling client meetings, follow-ups, and internal reporting.
- Assist in analyzing sales performance reports and KPI tracking for management review.
- Ensure compliance with company policies, client requirements, and project deadlines.
- Coordinate with design/marketing teams for client pitches and campaign support.
