About the Role

We’re looking for a proactive and dependable Office Administration Manager to oversee the day-to-day operations of our workspace and create a safe, efficient, and welcoming environment for all employees and guests.

You will be responsible for ensuring seamless office functionality—from facility coordination and vendor management to supporting employee experience and administrative operations. This role is pivotal in shaping a workplace that enables productivity, comfort, and professionalism across the board.

Key Responsibilities
  • Office & Facility Management
  • Oversee daily office operations, ensuring all facilities are fully functional and well-maintained
  • Workspace & Equipment Coordination
  • Maintain and manage employee access cards, lockers, seating/workstation allocations, and general workspace logistics.
  • Coordinate repairs, minor renovations, and cleaning services with third-party vendors and contractors.
  • Employee Experience & Onboarding
  • Support new employee onboarding and offboarding processes from a workplace and facility standpoint.
  • Ensure all desk setups, access, and supplies are ready prior to employee start dates.
  • General Administration & Projects
  • Maintain good documentation and track office expenses in coordination with the finance team.
  • Support company-wide initiatives and ad-hoc administrative projects as needed
  • Continuously identify areas for improvement in office operations, processes, or workplace experience.
Requirements & Qualifications
  • 4+ years of experience in office administration, facilities coordination, or operations support.
  • Strong organizational and time-management skills with attention to detail.
  • Proactive, solution-oriented mindset with a hands-on attitude.
  • Excellent communication skills (verbal and written) and interpersonal abilities.
  • Able to manage multiple priorities and work under minimal supervision.
  • Tech-savvy with experience using office software (e.g., Microsoft Office, Google Workspace) and facility tools.
  • Ability to build strong relationships with vendors, internal teams, and employees at all levels.
