Human Resources and Operations Assistant
We are looking for a professional, detail-oriented, responsible, and well-organized individual with strong communication and coordination skills to join our team.
This position will be responsible for managing the company's daily Human Resources and administrative functions, while assisting in daily sales operations, order coordination, and shipment arrangements to ensure smooth business operations and improve overall administrative efficiency and workflow processes.
Human Resources Functions- Manage the recruitment process, including job posting, resume screening, interview arrangements, and onboarding of new employees.
- Maintain and manage employee records, attendance, leave systems, and related HR documentation.
- Assist in payroll preparation, staff claims, and employee benefits administration.
- Support employee training, performance management, and employee relations activities.
- Ensure HR processes comply with company policies and relevant labor laws and regulations.
- Handle employee inquiries and provide daily HR administrative support.
- Perform other related HR duties as assigned.

Administrative Functions- Handle daily office administrative operations and coordination tasks.
- Manage office supplies procurement, office equipment, and vendor coordination matters.
- Prepare company reports, correspondence, meeting documents, and related administrative materials.
- Coordinate meetings, company events, and business travel arrangements.
- Establish and maintain systematic filing and documentation management systems.
- Assist management in handling ad-hoc administrative and operational matters.

Order & Shipping Coordination Responsibilities- Factory Shipment Management: Coordinate shipment schedule with warehouse and production departments based on production progress and customer delivery timelines to ensure timely and accurate delivery.
- Export Documentation Preparation: Prepare and verify a full set of export documents, including Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin, Customs Declaration, and other related shipping documents to ensure compliance with destination customs clearance requirements.
- Shipments Follow-Up: Liaise with freight forwarders for booking arrangements, trucking, customs clearance, cargo tracking, and promptly handle shipment-related issues.
- ERP System Operation: Update shipment data in the ERP system, generate delivery orders and shipping notifications, and maintain accurate and timely system records.
- Communication & Coordination: Coordinate effectively with internal departments (Sales, Production, Warehouse, Finance) and external parties (Forwarders, Customs Agents, Customers) to resolve shipment-related matters.
- Documentation Management: Maintain proper filing of shipping records, transportation documents, and customs paperwork, while assisting Finance with reconciliation and tax refund documentation preparation.

Job Requirements- Diploma/Degree or equivalent qualification in related fields
- Minimum 1-2 years of relevant working experience will be an added advantage
- Good communication, coordination, and organizational skills
- Proficient in Microsoft Office applications (Word & Excel)
- Experience in ERP systems (such as U8 ERP) will be an added advantage
- Able to work independently while maintaining strong teamwork and collaboration
- Responsible, detail-oriented, and possess strong professional ethics.
