Purchasing Duties

Request and review quotations from suppliers, assist in sourcing new suppliers when needed.

Compare prices, specifications, and delivery schedules to determine the most cost-effective and reliable options.

Raise and process purchase orders (POs) in a timely and accurate manner.

Monitor and track order delivery schedules, ensure timely receipt of goods, and follow up on any delays or discrepancies.

Check and verify supplier invoices and delivery orders (DOs) for accuracy and completeness. Process payment requests (if needed) and coordinate with the Accounts Department to ensure timely payments.

Maintain accurate procurement records, including purchases, pricing, delivery schedules, and supplier database.

Assist in inventory monitoring and replenishment for general items, ensuring stock levels are well maintained.

Administrative Duties

Manage general-use item purchases (e.g., stationery & maintenance items) as per requested and maintain proper records.

Liaise with internal departments to understand administrative needs and provide support accordingly.

Handle filing, documentation, and data entry related to purchasing and administrative matters.

Prepare and maintain purchase reports or any other related admin reports as required.

Perform other ad-hoc duties assigned by the superior.
