Administrative Support: Perform general office duties such as filing, data entry, document preparation, and maintaining organized records (both physical and digital).
  • Communication Management: Answer and direct phone calls, manage email correspondence, and respond to inquiries in a professional and timely manner.
  • Scheduling and Coordination: Arrange appointments, meetings, and travel plans for staff, ensuring efficient calendar management and timely reminders.
  • Document Handling: Prepare, edit, and distribute reports, memos, letters, and other documents as required, ensuring accuracy and adherence to company standards.
  • Office Management: Monitor and order office supplies, maintain office equipment, and coordinate with vendors for repairs or services.
  • Meeting Support: Organize and prepare for meetings, including setting up rooms, preparing agendas, taking minutes, and distributing follow-up materials.
  • Data Management: Maintain databases, update contact lists, and ensure confidentiality of sensitive information.
  • Customer and Client Interaction: Greet visitors, provide information, and serve as a professional point of contact for clients and stakeholders.
  • Team Support: Assist team members with ad-hoc tasks, including research, event planning, and project coordination as needed.
  • Education: High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field preferred.
  • Experience: 3+ years of experience in an administrative or secretarial role preferred, but entry-level candidates with strong skills will be considered.
  • Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software (e.g., Google Workspace).
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to prioritize tasks and work independently with minimal supervision.
  • High level of professionalism and discretion when handling confidential information.
  • Attributes: Detail-oriented, proactive, adaptable, and able to thrive in a dynamic work environment.
