Job Overview:
We are seeking a highly organized and detail-oriented Admin Assistant to join our team at Omegaden Laboratory. This role is crucial for ensuring smooth administrative operations, with a primary focus on generating and managing invoices, maintaining records, and supporting client communication.The ideal candidate is proactive, reliable, and capable of handling multiple tasks efficiently.
Key Responsibilities:
Invoicing & Billing:
- Generate accurate invoices for dental cases and services.
- Ensure timely distribution of invoices to clients.
- Follow up on outstanding payments and maintain a record of transactions.
Administrative Support:
- Maintain and update client databases with accurate information.
- Organize and manage physical and digital files, including case documents and payment records.
- Prepare monthly financial summaries for management review.
Communication & Coordination:
- Handle inquiries from clients regarding invoices, payments, and case statuses.
- Coordinate with technicians and the management team to ensure accurate billing information.
- Assist in scheduling and tracking case deliveries.
Reporting & Documentation:
- Prepare daily and monthly reports on invoicing and account status.
- Ensure compliance with company policies and industry regulations.
General Office Duties:
- Manage office supplies and inventory.
- Assist in organizing company events and meetings.
- Perform other administrative tasks as assigned by the management.
- Proven experience in administrative or accounting roles, preferably in the healthcare or dental industry.
- Proficient in Microsoft Office Suite (Excel, Word) and accounting software.
- Excellent organizational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
