Possess valid company secretary practicing certificate issued by SSM

  • A degree in Accounting, Finance, Corporate Administration, or related field.
  • Experience in similar role, preferably as a Company Secretary or Assistant Company Secretary with in-depth knowledge of Companies Act, listing requirements and relevant experience in Sustainability practices
  • Minimum 3 years of experience in corporate secretarial services is preferred.
  • Minimum 4-5 years relevant working experience can be consider for Assistant Manager and Manager position
  • Experience in handling public-listed companies will be added advantage
  • Excellent organizational and time management skills with the ability to manage multiple tasks and meet datelines.
  • Attention to detail with good analytical and problem-solving abilities.
  • Strong analytical skills, with ability to provide strategic advice and guidance in compliance matters
  • Proficient in MS Office (Word, PowerPoint, Excel).
  • Friendly, approachable, and excellent communication skills with ability to interact confidently with senior management, board members and external stakeholders in business environment.
  • Demonstrate integrity and ethical conduct in handling, sensitive and confidential information
  • Proficiency in both Mandarin and English is required
  • Prepare board resolutions, minutes of meetings, annual returns, and other statutory documents.
  • Ensure timely filing of statutory forms and returns with the Companies Commission of Malaysia (CCM).
  • Maintain and update corporate records, statutory books, and registers.
  • Proficient in using MYCOID for company incorporations, share allotments, and director/secretary changes.
  • Handle submission of annual returns and audited financial statements via MBRS system.
  • Assist in organizing board and general meetings, including preparing agenda papers and meeting files.
  • Communicate with directors, shareholders, clients, and regulatory authorities on corporate secretarial matters.
  • Provide advisory services to clients on matters relating to the Companies Act, 2016
  • Promptly respond to clients’ inquiries and emails
  • Assist potential clients with company incorporation and other corporate services.
  • Retrieve and provide documents for auditors on behalf of clients.
  • Draft correspondence, cover letters, and other administrative documents.
  • Maintain a proper filing system for corporate secretarial records.
  • Ensure prompt billing and follow-up on outstanding debts
  • Perform any other tasks assigned by the superior or management.
