Job Summary:
The Payroll Specialist is responsible for the accurate and timely processing of employee payroll across multiple entities or countries. This role ensures compliance with local labor laws, statutory regulations, and internal controls. The specialist will coordinate with HR, Finance, and external vendors to resolve payroll-related issues, maintain payroll records, and support audits.
Key Responsibilities:
Payroll Processing- Process end-to-end payroll in accordance with statutory deadlines and company policy.
- Validate and input payroll data (e.g., new hires, terminations, allowances, deductions, leaves, overtime).
- Reconcile payroll reports and perform variance checks.
- Ensure accuracy of statutory deductions such as EPF, SOCSO, EIS, PCB (Malaysia), or applicable equivalents in other countries.
- Maintain and update employee payroll data in HRIS and payroll systems.
- Support system enhancement, data integration, and troubleshooting issues related to payroll systems.
- Collaborate with HRIS teams for payroll interface/integration between systems.
- Prepare and submit statutory reports and payments to government authorities on time.
- Ensure compliance with internal controls and audit requirements.
- Support internal/external payroll audits and provide necessary documentation.
- Respond to employee queries on payroll matters professionally and within agreed timelines.
- Liaise with Finance, HR, and third-party vendors for payroll reconciliation, GL posting, and related matters.
- Assist with year-end processing, including EA Forms, tax filing, and annual returns.
Qualifications & Experience:
- Diploma/Degree in Accounting, Finance, Business Administration, or related field.
- Minimum 3–5 years of experience in payroll processing, preferably in a shared services or regional environment.
- Experience with payroll systems.
- Strong understanding of local statutory payroll regulations.
- Proficient in Excel and data validation techniques.
