Possess a Diploma in Secretarial Science, Business Administration or a related field.
  • Specifically reaching out to candidates who are residing within the vicinity of Bukit Tinggi, Telok Gong, Bandar Botanic, Ambang Botanic, Bandar Puteri, Taman Sentosa, Klang.
  • Demonstrate a minimum of at least 3 - 5 years of proven experience as an Executive Secretary or in a similar senior administrative role, preferably within the heavy equipment or related industry.
  • Exhibit exceptional communication skills, both written and verbal, in English, Bahasa Malaysia and Mandarin (optional) to effectively interact with internal and external stakeholders.
  • Display outstanding organizational skills and meticulous attention to detail to manage complex schedules, coordinate meetings and handle confidential information with utmost discretion.
  • Maintain advanced computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with other application and tools ie Canva, PDFelement, Google-based, CRM or ERP systems will be added advantage.
  • Possess strong interpersonal skills and the ability to build and maintain positive working relationships with colleagues, clients and vendors.
  • Demonstrate a proactive and resourceful approach to problem-solving with the ability to anticipate needs and take initiative to ensure smooth executive operations.
  • Exhibit a high level of professionalism, integrity and discretion in all interactions and activities, representing the executive office and the company in a positive and competent manner.
  • Manage the executive's calendar, schedule appointments and coordinate meetings, ensuring efficient time management and prioritization of commitments, including those related to heavy equipment operations and industry events.
  • Serve as the primary point of contact for internal and external stakeholders, professionally handling inquiries, correspondence and phone calls, and directing them appropriately, with a focus on maintaining strong relationships with clients, suppliers and industry partners in the heavy equipment sector.
  • Prepare and edit correspondence, communications, presentations and other documents, ensuring accuracy, clarity, and adherence to company standards, including technical documentation and reports related to crane operations and heavy equipment maintenance.
  • Organize and maintain confidential files and records, both physical and electronic, ensuring easy retrieval and compliance with data protection policies, with specific attention to maintaining records related to equipment certifications, safety inspections and employee training.
  • Coordinate travel arrangements, including flights, accommodations and transportation, ensuring cost-effectiveness and adherence to company travel policies, with consideration for the logistical requirements of site visits and equipment inspections.
  • Assist in the preparation of reports, budgets and financial statements, gathering data, compiling information and ensuring accuracy, with a focus on tracking expenses related to equipment maintenance, repairs and operational costs.
  • Organize company events, conferences and meetings, including venue selection, catering and logistics, ensuring seamless execution and a professional atmosphere, with specific attention to industry-related events and safety training programs.
  • Handle sensitive and confidential information with discretion and maintain the highest standards of professionalism and ethics, ensuring compliance with company policies and legal regulations, particularly regarding proprietary information and competitive intelligence within the heavy equipment industry.
