Visa & Licensing Executive (Bahasa/english Working Language)
Job Summary
We are looking for a detail-oriented Visa & Licensing Executive to manage end-to-end visa/permit and licensing deliverables for clients. This role requires strong documentation accuracy, deadline discipline, and the ability to maintain a clear audit trail for every submission and follow-up.
Requirements- Diploma/Degree holder or a related field.
- Minimum ~1years’ experience in visa/permit, licensing, compliance, corporate secretarial support, or similar documentation-heavy roles
- Able to travel for manual submission at government office if necessary
- Malay & English are required working languages (written and spoken)
- Highly detail-oriented, responsible, and deadline-driven; able to manage multiple cases in parallel
- Proficient in MS Office / Google Workspace (especially Excel/Sheets) and email communication
- Chinese language ability is an advantage (for client communication)
- End-to-End Visa/Permit Case Handling
- Prepare document checklists and guide clients on required supporting documents
- Complete forms, compile submission packs, submit applications, track progress, manage additional requests (RFI), and close cases
- Handle multiple cases concurrently while ensuring timeline compliance
- Licensing / Compliance Support (as assigned)
- Support client licensing/registration/compliance submissions via online portals and/or physical submission where required
- Coordinate appointments and site visits / submission runs when necessary
- Ensure full compliance with immigration laws, regulations, and current policies.
- Prevent misrepresentation, false declarations, or document inconsistencies.
- Advise clients on potential risks, rejections, penalties, or blacklisting.
- Liaison with Authorities
o Act as the official liaison between the client and relevant authorities, including: Immigration Department of Malaysia via ESD / MDEC / MIDA / KDN, KPDNHEP & Local Authority (PBT)
o Respond professionally and promptly to queries, objections, and compliance reviews.- Client & Stakeholder Coordination
- Communicate with clients, relevant portals/departments and partners via email/phone/WhatsApp/WeChat.
- Provide clear status updates, missing document lists, and next-step action items
- Tracking, Filing & Evidence Management
- Maintain a case tracker (Excel/Google Sheets) with milestones, deadlines and reminders
- Maintain a complete evidence trail: versions, screenshots, receipts, acknowledgment slips, emails and supporting documents
- Support SOP and template improvements to reduce RFI and increase first-pass success rate
- Compliance & Risk Management
o Ensure full compliance with immigration & local authority laws, regulations, and current policies.
o Prevent misrepresentation, false declarations, or document inconsistencies.
