Business Administrator
JOB POSITION: BUSINESS ADMINISTRATOR
We are seeking a proactive Business Administrator to support the Managing Director and Account Managers in the administrative and operational execution of business development activities across the full commercial lifecycle.
This role ensures that opportunities initiated by the MD and Account Managers are progressed efficiently from opportunity pursuit through proposal submission, client onboarding, contract documentation, invoicing, and internal handover to Delivery.
Working cross-functionally with Pre-Sales, Solution Architecture, Delivery, Clients, and Finance, the Revenue Operations Executive coordinates internal stakeholders, manages commercial documentation, and ensures submission timelines are met — allowing the MD and Account Managers to focus on client engagement, negotiation, and deal closure.
- Opportunity & Proposal Coordination
- Support administrative coordination of opportunities initiated by MD and Account Managers
- Coordinate preparation and submission of proposals, RFQs, and RFPs
- Maintain submission checklists to ensure compliance with client requirements
- Consolidate inputs from Pre-Sales, SA, and Delivery teams into final commercial documents
- Manage document formatting, version control, and submission timelines
- Support preparation of costing sheets and commercial summaries
- Maintain opportunity documentation in CRM and shared repositories
- Client Onboarding & Contract Documentation
- Coordinate NDA / MSA execution with clients
- Complete client onboarding forms and procurement portal registrations
- Support vendor registration processes
- Track purchase orders (POs) and contract documentation
- Maintain repository of signed agreements and onboarding records
- Invoice & Payment Coordination
- Coordinate invoice submissions with Finance
- Track invoice status and payment timelines
- Follow up with clients on outstanding payments where required
- Maintain visibility of billing milestones for active projects
- Sales-to-Delivery Handover
- Support preparation of project kickoff documentation
- Coordinate internal handover from Sales to Delivery for awarded opportunities
- Maintain project administrative records for awarded deals
- MD Commercial Calendar & Meeting Coordination
- Manage MD calendar scheduling for revenue-related activities
- Coordinate internal pursuit meetings across Pre-Sales, SA, and Delivery teams
- Schedule proposal reviews and client negotiation sessions
- Support Account Manager escalation requests requiring MD involvement
- Prepare meeting minutes and track action items for active pursuits
- Bachelor’s Degree in Business Administration, Management, Finance, Marketing, or a related discipline.
- Minimum 2–5 years of experience in business administrator, commercial operations, sales operations, business development support, or project coordination.
- Experience in handling RFQs/RFPs, proposal coordination, or commercial documentation will be an added advantage.
- Prior exposure to working with senior management or C-level executives is preferred.
