Key Requirements
  • Diploma or Bachelor’s Degree in Finance, Business Administration, Economics, or a related field.
  • Additional certification in administration or finance is an advantage.
  • Minimum 2–5 years of experience in a secretarial or administrative role, preferably within an investment firm, financial institution, or corporate environment.
  • Familiarity with investment terminology, financial documents, and reporting processes is preferred.
  • Strong organizational and time management skills.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency in Bloomberg.
  • Ability to prepare reports, minutes, and professional correspondence.
  • Good understanding of financial documents such as investment reports, portfolios, and contracts.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong multitasking ability and ability to work under tight deadlines.
  • Professional, proactive, and reliable.
  • Strong interpersonal skills and ability to interact with stakeholders.
  • Discreet and trustworthy.
  • Ability to work independently and as part of a team.
Job Scope & Responsibilities
  • Provide full secretarial and administrative support to the investment team and senior executives.
  • Manage schedules, appointments, and meetings related to investment activities.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Assist in the preparation and compilation of investment reports, presentations, and documentation.
  • Maintain and organize investment records, files, and databases.
  • Track investment deadlines, submissions, and approvals.
  • Draft and format correspondence, reports, and internal memos related to investments.
  • Ensure accuracy and completeness of investment-related documents.
  • Support in preparing materials for investor meetings and board presentations.
  • Act as a point of contact between the investment team, clients, stakeholders, and external parties.
  • Coordinate communication with financial institutions, partners, and service providers.
  • Ensure all documentation complies with internal policies and regulatory requirements.
  • Maintain strict confidentiality of financial and investment information.
  • Assist in basic financial tracking, data entry, and record reconciliation.
  • Support ad hoc tasks related to investment projects and business operations.
