Education & Experience
- Minimum Diploma or equivalent (Business, Operations, or related field preferred)
- 1–3 years experience in sales coordination, operations, or similar role
- Experience in construction/interior/furnishing industry is an advantage

- Familiarity with measurement (sqft) and material estimation

- Sales & Inquiry Handling
- Respond to all incoming inquiries (WhatsApp, calls, email, walk-ins) in a timely manner
- Understand customer requirements (area size, product type, site condition)
- Prepare accurate quotations and Proforma Invoices
- Follow up with customers to secure confirmation and payment
- Provide clear information on product, pricing, lead time, and installation process
- Order Processing & Payment Control
- Ensure full payment (Supply Only)orrequired deposit (Supply & Install) is received before processing
- Verify order quantities strictly based on approved quotation
- Prevent over-ordering or unauthorized material release
- Issue invoices upon confirmation of order
- Operations & Fulfillment
- Prepare Delivery Orders (DO) and Purchase Requests where required
- Coordinate with warehouse on stock availability and preparation
- Arrange delivery or customer collection
- Verify stock condition and quantity before dispatch (including photo confirmation)
- Ensure smooth and timely fulfillment of all orders
- Project Coordination (Supply & Install)
- Coordinate with installers on job schedule and site requirements
- Arrange delivery timing to match installation schedule
- Communicate job details clearly via group chat (location, timing, DO number)
- Monitor job progress through updates and site photos
- Handle additional requests only with approved quotation and payment
- Returns & Documentation Control
- Verify returned materials against site/installer records
- Prepare Credit Notes (CN) or Stock Return (SR) forms (with approval where required)
- Maintain proper filing of all documents (Quotation, DO, Invoice, CN)
- Ensure all records are complete and traceable by Invoice Number
- Coordination & Communication
- Act as the key liaison between:
- Customers
- Warehouse team
- Installers
- Management
- Maintain clear and structured communication across all parties
- Provide timely updates on order status, delivery, and project progress
- General & Cross-Support Duties
- Support team members during peak periods or absences
- Assist in both Supply Only and Supply & Install workflows when required
- Participate in daily task updates and coordination meetings
- Follow company SOPs and escalate exceptions for approval
