Job Description:

We are looking for a highly organized and detail-oriented Admin Manager to oversee the full spectrum of administrative operations, including documentation handling, internal coordination, and team supervision. The ideal candidate should be proficient in managing quotations, purchase orders (PO), delivery orders (DO), invoices, and filing systems, with hands-on experience in AutoCount or similar ERP software.

This role requires strong leadership and communication skills to ensure smooth day-to-day operations, effective collaboration with internal departments, and professional client-facing support. Candidates with prior experience in the construction or interior design industry, or with knowledge in basic office maintenance, will be given added advantage.

Requirements:

  • Achieve at least Degree
  • Minimum 4–5 years of relevant experience in administrative operations, with at least 1–2 years in a managerial or leadership capacity.
  • Proficient in AutoCount or equivalent accounting software.
  • Preferably experienced in construction, interior design, or related project-based industries.
  • Demonstrated ability to manage, train, and lead a team.
  • Excellent communication and coordination skills across departments and with external stakeholders.
  • Able to communicate fluently in Bahasa Malaysia, English, and Mandarin (both spoken and written).
  • Strong organizational skills, attention to detail, and the ability to handle multiple tasks under pressure.
  • Proactive and solution-oriented, with strong analytical thinking and process improvement mindset.
  • Experience or knowledge in basic maintenance coordination will be considered an advantage.
  • Lead and manage the overall operations of the administrative department to ensure smooth, efficient, and compliant daily operations.
  • Supervise the admin team by providing guidance, training, task delegation, and performance review.
  • Manage and review all documentation including quotations, purchase orders (PO), delivery orders (DO), invoices, contracts, and internal records.
  • Ensure accurate data entry and reporting using AutoCount or equivalent accounting systems.
  • Coordinate closely with design, finance, site, and external clients to support cross-departmental operations.
  • Develop and enforce admin policies and SOPs to improve operational efficiency and compliance.
  • Monitor administrative expenses and ensure resource allocation aligns with budgetary guidelines.
  • Oversee office facilities, supplies, and maintenance to ensure a safe and productive work environment.
  • Serve as the main liaison for vendors, service providers, and clients on administrative matters.
  • Prepare timely reports and updates to management regarding admin KPIs, issues, and improvements.
