Job Summary

The Purchasing Executive is responsible for sourcing, negotiating, purchasing, and coordinating materials, products, and services required for project execution and daily operational needs of the company. This role ensures timely procurement, cost efficiency, supplier compliance, and smooth coordination with internal departments to support project delivery.

Key Responsibilities
  • Source suppliers, vendors, and subcontractors for materials, services, and project requirements based on company needs.
  • Obtain quotations, compare pricing, specifications, quality, and delivery terms before recommending purchases.
  • Prepare Purchase Orders (PO) and ensure all purchases follow company approval procedures.
  • Coordinate with Project, Marketing, Design, Production, and other departments to understand purchasing requirements and delivery deadlines.
  • Monitor purchase requests and ensure materials are delivered on time to support project schedules.
  • Negotiate pricing, payment terms, delivery schedules, and service conditions with suppliers to achieve cost efficiency.
  • Develop and maintain a reliable supplier database for recurring and project-based purchases.
  • Evaluate supplier performance regularly based on quality, price competitiveness, delivery performance, and service reliability.
  • Follow up closely on pending orders, urgent purchases, delayed deliveries, and supplier issues.
  • Verify purchase-related documents including quotations, invoices, delivery orders, and supplier records for accuracy.
  • Maintain organized procurement records and ensure documentation is complete for internal control and audit purposes.
  • Monitor stock levels of commonly used materials and coordinate replenishment when necessary.
  • Identify cost-saving opportunities without compromising quality and operational requirements.
  • Resolve purchasing issues, shortages, quality discrepancies, or urgent procurement matters promptly.
  • Ensure all procurement activities comply with company policies, procedures, and ethical purchasing practices.
  • Support continuous improvement of procurement processes and supplier management practices.
  • Any other duties assigned by Superior/ the Management from time to time.
