Assist the Sales team with order processing, sales documentation, and customer communication, ensuring accuracy and efficiency.
  • Coordinate logistics for both sales orders and purchase orders, including arranging transportation, tracking shipments, and resolving any delivery issues.
  • Prepare and analyze costing reports for both sales and purchasing activities, identifying opportunities for cost reduction and process improvement.
  • Handle all necessary documentation related to sales and purchasing, including invoices, purchase orders, shipping documents, and customs paperwork, ensuring compliance with relevant regulations.
  • Communicate effectively in Mandarin, English, and Bahasa Malaysia with suppliers, customers, and internal teams to facilitate smooth transactions and resolve any inquiries or issues.
  • Support the purchasing team in sourcing and procuring materials, negotiating prices, and managing supplier relationships to ensure timely delivery and cost-effectiveness.

Sales Support:

  • Coordinate sample preparation by liaising with RnD for sample collection, labeling, courier arrangement, and record-keeping.
  • Follow up on sample status and assist in completing customer account opening forms.
  • Check stock availability and update delivery details with the warehouse.
  • Prepare product labels and follow up on delivery status.
  • Verify delivery orders (DO), invoices, and transporter charges.
  • Assist with billing and documentation (supporting internal team members as needed).
  • Create overseas customer accounts and enter orders into the accounting system (e.g., AutoCount).
  • Prepare product labels and ensure export readiness.
  • Prepare customer delivery summaries for split shipments under the same purchase order.
  • Assist with preparing quotations and do basic costing
  • Check and verify export-related documents

Purchasing Support:

  • Issue purchase orders (POs) to suppliers and follow up on the delivery of goods.
  • Coordinate with the warehouse for any incoming goods
  • Inspect and verify that received goods are in good condition.
  • Check and track import shipping documents and sailing schedules.
