Education: Diploma or Degree in Event Management, Business, Marketing, or related field.
- Experience: 1–3 years in event coordination or project management, preferably in large-scale seminars, conferences, entertainment or training events.
- Exposure to both live and virtual event formats is a plus.
- Skills: Strong organizational and time-management skills with an eye for detail.
- Excellent communication and stakeholder management abilities.
- Able to work independently and handle multiple projects simultaneously.
- Proficiency in MS Office; experience in project management tools and CRM software is advantageous.
- Willingness to work extra hours, including weekends and public holidays (with compensation).
- Event Planning & Execution Plan
- Organize, and execute large-scale conferences, training seminars, and live/virtual events from concept to completion.
- Manage event logistics, including venue selection, AV setup, stage production, catering, attendee registration, and on-site support.
- Coordinate speaker schedules, travel arrangements, and accommodation.
- Project Management:
- Prepare detailed project plans, timelines, and checklists, ensuring all deliverables are met within deadlines and budget.
- Track progress and provide regular updates to management.
- Vendor & Stakeholder Management
- Source, evaluate, and manage vendors such as production teams, suppliers, and event partners.
- Maintain strong working relationships with stakeholders, sponsors, and partners.
- Budget & Administrative Control
- Prepare event budgets, control expenses, and ensure cost-effectiveness.
- Handle administrative tasks such as contracts, purchase orders, and payment tracking.
- On-Site Event Leadership
- Lead the event setup and operations team during live events.
- Troubleshoot issues on-site and manage last-minute changes effectively.
- Marketing & Customer Engagement Support
- Collaborate with marketing to create promotional materials, campaigns, and communication plans.
- Ensure customer service excellence before, during, and after events.
