Personal Assistant (PA) to Director

Are you an organised, detail-oriented professional with strong administrative skills? We’re looking for a proactive Personal Assistant to support our CEO in both professional and personal matters to ensure smooth daily operations.
KEY RESPONSIBILITIES:
- Calendar Management: Organise and manage the director’s day-to-day schedule, including meetings, appointments, and making personal and work travel arrangements.
- Communication: Handle incoming and outgoing correspondence, including email, phone calls, and liaise with other team members across different time zones (Australia, Malaysia, Philippines, and USA).
- Task Coordination: Assist with project management tasks, ensuring deadlines are met and priorities are aligned with the company’s goals.
- Personal Assistance: Handle CEO’s personal tasks, including making restaurant reservations, flight bookings, travel itinerary, car servicing appointments, arranging salary and SOSCO payment for domestic helper
- Confidentiality: Maintain a high level of confidentiality and direction when handling sensitive information.
QUALIFICATIONS:
- Experience: Minimum 2 years’ experience as a PA or Secretary, preferably supporting a director or senior executive.
- Education: Bachelor’s degree in Business Administration, or related field.
- Experience with virtual communication and project tools e.g. Zoom, Google Workspace, Slack, ChatGPT, ClickUp.

- Strong written and verbal English communication skills
- Exceptional organisational and time-management skills
- Strong attention to detail and proactive in problem-solving
- Good interpersonal skills with strong work ethics
- Ability to multitask and prioritise tasks effectively
- Ability to work under pressure as well as the ability to deal with interruptions and other unexpected events and make necessary adjustments
- Tech savvy and proficient in online softwares and project management tools
- Perceptive in understanding the employers’ likes and dislikes and able to anticipate needs
- Handle sensitive information with the utmost discretion and maintain confidentiality
- Ability to work independently and learn quickly under minimal supervision.
