Our client is a prominent organization seeking a dedicated and detail-oriented Sales Support Officer to join their team. This role is crucial for ensuring seamless sales operations and maintaining strong customer relationships through efficient coordination and meticulous follow-up.
About the Role
The Sales Support Officer will be responsible for providing comprehensive support to the sales team and managing a designated customer base. This includes reviewing orders, managing logistics, and ensuring a smooth customer experience from order to delivery.
Key responsibilities include:
- Handling a customer base assigned by a superior, including key accounts and drop shipment or inter-company orders.
- Reviewing customer orders for discrepancies in item, quantity, and price, and liaising with Sales for immediate confirmation.
- Following up to ensure customer payments are received and confirmed for cash term deliveries.
- Reviewing inventory and forecasting against customer order commitments and liaising with customers on stock availability and order fulfillment.
- Coordinating order loading and rescheduling based on inventory, planning, and transportation availability.
- Following up on timely customer order entry and booking confirmations for truck arrangements.
- Liaising with the 3PL.
- Daily order entry into an ERP system for assigned customers.
- Generating tax invoices for shipments made.
- Updating E-invoices in specific customer systems when required.
About the Team
You will support assigned Sales Support Officers and report to a superior. The role requires close collaboration with the Sales, Logistics, and Warehouse teams to ensure a seamless process.
Skills & Experience Required- Experience: Experience in a sales support or customer-facing role is required to effectively handle a customer base.
- Technical Skills: Proficiency with ERP systems for daily order entry is essential. Experience with E-invoicing platforms is also required.
- Soft Skills:
- Strong communication and interpersonal skills for liaising with customers and various internal departments.
- A proactive and organized approach for managing order discrepancies, payments, and follow-ups.
- The ability to work under pressure to resolve time-sensitive issues and meet customer requirements.
