  1. Purchase Order Management
  • Prepare, issue, and track purchase orders for IT products and accessories.
  1. Supplier Coordination
  • Liaise with suppliers to ensure timely delivery, negotiate pricing, and resolve issues.
  1. Inventory Monitoring
  • Track stock levels and reorder supplies as needed to avoid shortages.
  1. Product Sourcing
  • Source IT hardware and software from reliable vendors according to sales trends.
  1. Price Comparison & Cost Saving
  • Evaluate quotations and ensure cost-effectiveness of purchases.
  1. Document Management
  • Maintain accurate purchasing records, delivery orders, and invoices.
  1. Interdepartmental Support
  • Work closely with sales, warehouse, and finance teams to fulfill purchasing needs.
  1. System Updates
  • Update product and purchase data in inventory and procurement systems.
  1. Compliance & SOP Adherence
  • Ensure all purchasing activities comply with company policies and procurement SOPs.
  1. Support Procurement Projects
  • Assist in bulk purchase planning, launching new products, and vendor evaluations.

Requirements:

Purchasing Admin – Job Requirements (IT Retail)

✅ Education & Qualifications
  • Minimum SPM/STPM/Diploma in Business Administration, Supply Chain Management, or related field.
  • Degree holders are preferred for growth potential.
✅ Experience
  • At least 1 year of working experience in administrative or purchasing roles.
  • Experience in IT retail or product knowledge (e.g. laptops, gadgets, accessories) is an added advantage.
✅ Skills
  • Proficient in Microsoft Excel, Word, and email communication.
  • Good command of English and Bahasa Malaysia (spoken & written).
  • Strong organizational and multitasking skills.
  • Attention to detail and ability to work under pressure.
✅ Personal Traits
  • Responsible, reliable, and able to meet deadlines.
  • Fast learner with a proactive attitude.
  • Good communication and coordination skills with internal teams and suppliers.
✅ Other Requirements
  • Familiar with purchasing processes and documentation (POs, invoices, delivery orders).
