We are seeking a detail-oriented and proactive Import & Export Customer Service Executive to join our team in Klang. This role is essential in ensuring smooth shipment operations, accurate documentation, and responsive customer service for both import and export activities.
You will coordinate with consignees, carriers, and overseas agents, manage customs declarations, and support internal teams to deliver timely and compliant logistics solutions.
Key Responsibilities:
- Custom declaration SMK / EDI (K1/K2/K3/K8/K9)
- Overall in-charge, coordinate and manage all aspects of the export/import sea freight shipment process, including booking, documentation, custom clearance and billing.
- Communicate effectively with clients, vendors and carriers to ensure accurate data and timely delivery of goods.
- Support and work closely with fellow team members to ensure the smooth shipment operation.
- To act as dedicated contact window and support HOD to maintain or improve customer’s satisfaction level to our company.
- Coordinating with consignee / shipping / oversea agent for all import shipment by sea.
- Create job in Prosea System.
- Assist customer on shipping documents preparation on custom declaration (Ex. requesting commercial invoice, packing list, BL, insurance, etc.
- Request notice of arrival (NOA) and liaise with carrier /co-loader to ensure accurate data on shipments and timely submission of all shipping document.
- Preparation of data (Ex. NOA, Import permit, DO, IID & etc.)
- Prepare and submit K1 SMK inside EDI system custom.
- Keep trace on vessel & equipment movement / Invoicing and prepare payment to vendor /carrier in a timely manner
- Key in vendor cost, closed job task, finalise the shipment Profit and Loss and upload shipping documents in Prosea System
- Liaising with operation team to ensure custom clear and print receipt custom for smooth movement of shipment
- Assist to submit export custom declaration eg. K2 and K3 when required
- Perform ad-hoc tasks and assisting on export custom declaration K2 as assigned by HOD and Management.
- Minimum qualification: Diploma in Logistics or a related field.
- 3–5 years of working experience in freight forwarding or logistics companies
- Strong understanding of shipping documentation and customs declaration procedures
- Proficient in Bahasa Malaysia and English, both written and spoken
- Good communication skills with the ability to liaise effectively with clients, carriers, and internal teams
- Computer literate, with experience using carrier e-commerce platforms and ALDEC system (Dagang Net)
- Detail-oriented, organized, and capable of managing multiple tasks under tight timelines
