About the Job

As a Project Admin, you will provide administrative and coordination support to ensure smooth project execution. Your responsibilities include maintaining records, assisting with documentation, tracking progress, and ensuring compliance. The role also involves monitoring and keeping records of foreign worker attendance and related issues, while supporting procurement, finance, and stakeholder communication.

Key responsibilities include:

  • Administrative Support: Assisting in the preparation and maintenance of project documentation, reports, and correspondence. You will maintain and organize project files, records, and databases for easy retrieval, coordinate meetings, prepare agendas, and record minutes for project-related discussions. You will also manage office supplies and ensure smooth office operations, and assist procurement processes by coordinating purchase requests, quotations, and vendor communications.
  • Project Coordination: Supporting project managers in tracking progress, schedules, and deliverables. You will assist in coordinating activities between project teams, stakeholders, and clients, monitor and update project timelines, and ensure deadlines are met. You will also facilitate communication between different departments to ensure alignment.
  • Documentation & Reporting: Preparing and compiling project reports, status updates, and other relevant documents. You will ensure all project-related documents comply with company policies and regulations, and assist in preparing and submitting project-related permits and approvals when required. You will also maintain confidentiality and security of project information.
  • General Support: Monitoring and keeping records of foreign worker attendance records and related issues. You will perform other administrative duties as assigned to support the project team, assist in troubleshooting and problem-solving to enhance project efficiency, and support in event planning, workshops, or training sessions related to the project.
  • Communication & Stakeholder Management: Acting as a point of contact for project-related inquiries from internal and external parties, and handling correspondence, emails, and calls related to the project.

Skills and Experience Required
  • Educational Level: SPM and above.
  • Profession: Business management, administration related.
  • Work Experience: Fresh graduate or more than 1 year administrative experience.
  • Knowledge/Skills: Strong organizational and multitasking abilities, proficiency in Microsoft Office (Excel, Word, PowerPoint), good communication and interpersonal skills, ability to work independently and in a team, and ability to maintain confidentiality and handle sensitive information.
  • Multilingual candidate will be prioritised.
