Sales and Marketing Admin Coordinator
About the Role
We are looking for a highly organized and proactive Sales & Marketing Operations Coordinator to be the operational backbone of our e-commerce team. In this vital role, you will ensure the seamless execution of daily sales, customer service, and administrative functions across our digital platforms (Website, Instagram, Facebook, TikTok, Shopee).
You are a strategic thinker with a keen eye for detail, capable of managing multiple priorities while maintaining the highest standard of customer experience and brand representation. Your work will directly support our growth and strengthen our online presence.
Key Responsibilities
Sales & Order Management:
- Manage the end-to-end order processing cycle, including purchase orders, supplier coordination, and delivery follow-ups.
- Handle all order-related issues, including returns, refunds, and delivery tracking, ensuring swift and satisfactory resolution.
- Monitor inventory levels and coordinate with internal teams to maintain optimal stock availability.
- Generate and analyze daily, weekly, and monthly sales reports to track performance and identify trends.
Customer Service Excellence:
- Serve as the first point of contact for customer inquiries via email, live chat, social media, and marketplaces.
- Proactively monitor and respond to customer reviews and ratings across all platforms.
- Identify recurring customer pain points and escalate them to drive systemic improvements.
- Act as a brand ambassador, ensuring all customer interactions reflect our brand values.
E-Commerce & Marketing Support:
- Maintain and update the master product file, ensuring accuracy in pricing, visuals, and descriptions across all channels.
- Support the execution of digital campaigns, flash sales, and promotional offers.
- Assist in content creation, including writing captions, scheduling posts, and creating basic designs using Canva.
- Track and report on key social media and e-commerce platform metrics (engagement, traffic, conversions).
Operational & Administrative Support:
- Organize and maintain digital asset libraries (photos, videos, designs, logos).
- Support the planning, promotion, and organization of marketing events and pop-up booths, including setup and on-site management.
- Manage the inventory and printing of sales and marketing materials and event equipment.
- Minimum of 1 year of experience in an e-commerce, customer service, or marketing support role.
- Degree in Business, Marketing, E-Commerce, or related field
- High proficiency in English and Bahasa. Mandarin is a bonus.
- High proficiency in Microsoft Office Suite, particularly Excel (formulas, pivot tables, rankings, data analysis) for data tracking and reporting.
- Strong design sensibility with proficiency in Canva; basic knowledge of Adobe Photoshop/Illustrator is a strong advantage.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
