Diploma or Degree in Business Administration, Human Resource Management, Office Management, or related fields.
- Good command of English and Bahasa Malaysia, both written and verbal.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent organizational and multitasking abilities with a strong attention to detail.
- Ability to work independently with minimal supervision while managing multiple priorities.
- Strong interpersonal skills and professional communication with internal and external stakeholders.
- Previous experience dealing with government departments (JTK, KDN, Immigration) is a strong advantage. ( Preferred )

Administrative Support:
- Draft, prepare, and review agreements, contracts, service proposals, official letters, internal memos, and other important documents.
- Ensure all documents are properly formatted, accurate, and compliant with internal and external requirements.
- Handle all administrative procedures involving government bodies such as JTK, KDN, and Immigration, including but not limited to license renewals, quota applications, and company registrations.
HR Assistance:
- Assist the HR department with onboarding processes, including preparing offer letters, collecting employee documents, and setting up employee profiles.
- Maintain and update personnel files, employee records, and HR databases systematically and securely.
- Help coordinate staff insurance applications, medical claims, and other HR-related administrative support.
Documentation and Filing:
- Manage physical and digital filing systems to ensure all company and employee documents are well-organized, updated, and easily retrievable when needed.
- Implement document control processes to maintain confidentiality and proper version control.
Meeting and Reporting Support:
- Arrange departmental meetings, schedule appointments, and prepare meeting agendas and minutes as required.
- Coordinate submission of monthly and quarterly reports related to departmental activities and compliance matters.
- Assist in drafting internal reports, analysis, and administrative reviews.
Government Liaison:
- Act as a liaison between the company and external bodies such as JTK, KDN, and Immigration to ensure all regulatory requirements are met.
- Ensure timely renewals, applications, and submissions to avoid legal and regulatory issues.
General Office Management:
- Support general office management tasks such as ordering supplies, monitoring stationery stock, handling petty cash claims, and maintaining office equipment in working order.
- Assist in planning company events, team activities, and employee engagement initiatives where necessary.
Ad Hoc Tasks:
- Undertake any additional responsibilities or projects assigned by the direct superior or department head to support the overall operations of the company.
