Your key responsibilities
The Legal Administrative Executive Assistant will support our legal function. This role involves coordinating various administrative tasks to ensure the efficiency of the legal team’s operation. Your responsibilities include:
- Manage and process invoices related to legal services, ensuring accuracy and timely submission.
- Act as the bridge between lawyers and internal/external stakeholders to ensure seamless communication and collaboration.
- Develop and maintain appointment letter templates and other legal documents as required.
- Schedule and coordinate meetings, including securing meeting room bookings and confirming participant availability, with a focus on data breach discussions.
- Assist in the preparation and coordination of reports as advised by the Legal Director, ensuring all necessary information is gathered and presented accurately.
- Collaborate the setup and management of the GCO SharePoint, ensuring it meets the needs of the legal team and is user-friendly.
- Organize, maintain, and ensure the security of legal files and documents, both physical and digital, to support the legal team's operations.
- Maintain and update the corporate entity database, by ensuring all information is accurate and current.
- Manage approval via EY system before the appointment of service providers
- Strong organizational skills

- Dedicated, innovative, resourceful, team player and able to work under pressure
- Proactive approach to problem-solving
- Foster an efficient, innovative and team-oriented work environment
- Proficiency in Microsoft Office Suite and familiarity with SharePoint.
- At least Diploma/Bachelor’s degree with minimum 3 years of relevant experience in legal support or administration role.
