Operations Executive (Programme & Faculty Support)

The Operations Executive supports the smooth delivery of educational programmes by managing day-to-day operations, class scheduling, teacher coordination, tutor pay tracking, and programme administration. This role works closely with internal teams, school clients, and teachers to ensure programmes run accurately, on time, and to standard standards.
Key Responsibilities
Programme & System Administration- Manage programme documents, schedules, and delivery timelines.
- Set up and maintain student and teacher accounts across platforms.
- Manage Zoom and Microsoft Teams accounts for classes.
- Upload and manage lesson materials on SunagoLearn.
- Ensure lesson bookings, class details, and system records are accurate.
- Update class evaluations and status codes to support reporting and tutor pay.
- Manage class bookings and ensure schedules are accurate and conflict-free.
- Confirm class details with teachers and internal teams.
- Handle class changes or cancellations and inform all relevant parties promptly.
- Act as the main contact point for teachers.
- Assign teachers to classes based on availability and suitability.
- Support teachers with scheduling, technical, and administrative matters.
- Monitor teacher attendance, punctuality, and report submission.
- Communicate schedules, updates, and operational instructions clearly and professionally.
- Track completed classes, attendance, cancellations, and make-ups.
- Ensure records are accurate to support correct tutor pay.
- Prepare and verify tutor pay documentation before payroll processing.
- Respond to teacher enquiries related to pay and schedules.
- Work with Finance to resolve pay discrepancies.
- Collect and review feedback from students and teachers.
- Prepare simple monthly reports on attendance, cancellations, and teaching quality.
- Review teacher reports and send progress updates to students when required.
- Able to communicate clearly in spoken and written English.
- Organised and careful with details when handling schedules, records, and system updates.
- Willing to follow up on tasks, ask questions, and seek help when needed.
- Comfortable using basic digital tools such as Google Drive, Docs, and Sheets.
- Open to learning new systems, platforms, and ways of working.
